Customers ask for a refund and also tell their bank. Or the bank opens a dispute before your refund lands. You can then lose the dispute and also have refunded, which is two returns of one payment. The balance falls twice. The books look like fraud even when the intent was to make the customer whole.
Check the charge before you refund it again.
What is actually moving
The correct habit is mechanical. Open the charge. See whether a dispute exists. See whether a refund already succeeded. Respond to the dispute with the refund evidence if that is the truth. Do not press refund a second time because the inbox is loud.
- Look for an existing dispute.
- Look for an existing refund.
- Respond with evidence instead of paying twice.
- A noisy inbox is not a second refund.
What people confuse it with
This is also why “just refund everyone” during a review is dangerous. Some of those charges are already in dispute. A blanket refund doubles them.
Not a reinstatement method
What to do with it
One sale, one return of the money.
- Open the charge before any manual refund.
- If a dispute is open, answer it with proof of the refund you already made.
- If you have not refunded, decide once.
- Record the outcome against that charge id, not against a spreadsheet guess.
What this briefing is not
Questions on this note
Does a refund automatically close a dispute?
Do not assume it. The dispute can already be in motion. Use the charge in the dashboard, and respond with the refund if that is what happened.
Who bears a double return?
The account that took the charge, unless a written agreement has already named someone else. A chat message is not that agreement.
